What to Do If Home Loan Documents Are Missing?

Misplacing home loan documents can be stressful, but don’t panic — there are steps you can take to recover or replace them efficiently. Here’s what you should do:

  1. Check Thoroughly
Start by rechecking all possible storage locations — personal files, digital backups, emails, or even with your CA or advisor.
  2. Contact Your Lender Immediately
Reach out to your bank or financial institution. They usually keep copies of all signed documents and can guide you through the reissuance process.
  3. File an FIR (if applicable)
If the documents are truly lost or stolen, visit your local police station and file a First Information Report (FIR). This adds a legal layer of protection and may be required by the lender.
  4. Submit a Written Request
Banks may ask you to submit a formal application along with the FIR and ID proof to reissue documents.
  5. Get an Indemnity Bond
You may be required to sign an indemnity bond on stamp paper, indemnifying the bank from any future misuse of the missing documents.
  6. Update Your Records
Once you receive the duplicate documents, store both physical and digital copies safely. It’s also wise to update your records with the bank if needed.

Pro Tip:
Always keep a scanned copy of your home loan documents in secure cloud storage for easy access in emergencies.

How to Get Back All Original Home Loan Documents After Home Loan Closure?

Time needed: 2 minutes

Once you’ve fully repaid your home loan, retrieving your original property documents is the final and crucial step. Here’s how you can ensure a smooth and timely collection process:

  1. Ensure Full Repayment

Original property documents (movable/immovable) are released only after full repayment or settlement of the loan.

  2. Collection Timeline

Documents are made available within 30 working days from the date of repayment confirmation.

  3. Choose Collection Branch

You may collect your documents from any PNBHFL branch between 10:00 AM – 2:00 PM, Monday to Saturday (excluding 1st & 2nd Saturdays).

  4. Collection Window

Documents will be held at your chosen branch for 15 days. If not collected, they are returned to the central repository.

  5. Avoid Delay Charges

Failure to collect within the holding period will attract a Custody Charge of ₹1,000 + GST per month.

Who Can Collect the Documents?

  • All Property Owners + Loan Borrowers must be present during collection.
  • Carry Original ID & Address Proof for verification.
  • If any co-owner/borrower is unavailable, a General Power of Attorney (GPA) must be presented.
  • For NRI customers, GPA should be notarized & apostilled as per local laws, along with self-attested KYC.
  • In case of the death of any property owner, submit:
    • Succession Certificate / Legal Heir Certificate / Surviving Member Certificate.
    • Legal heirs must appear in person with their original ID & address proof.
